Vorena AI is operated by Helmsworth LLC (“we,” “us,” “our”). This policy describes how we collect, use, and protect your information when you use our platform and services.
1. Information We Collect
When you create an account or use Vorena AI, we collect information you provide directly, including your name, email address, business name, and website URL. We also collect usage data such as chatbot conversations, lead information captured through your widget, and analytics about how you use the platform.
Information collected automatically:
- Device type, browser type, and operating system
- IP address and approximate geographic location
- Pages visited, features used, and session duration
- Chatbot interaction data (messages, responses, conversation outcomes)
- Pipeline and CRM data you enter into the platform
2. How We Use Your Information
We use your information to provide and improve our services, including powering your AI chatbot, generating leads and analytics, processing payments, and sending important service communications. We do not sell your personal information to third parties.
Specifically, we use your data to:
- Operate and maintain your AI chatbot and pipeline tools
- Process your subscription payments via Stripe
- Send transactional emails (receipts, alerts, rule notifications)
- Improve AI model accuracy and response quality
- Provide customer support and respond to inquiries
- Detect and prevent fraud, abuse, and security incidents
3. Data Storage & Security
Your data is stored securely using Supabase (built on PostgreSQL) with row-level security policies. All data transmission is encrypted via TLS. We implement industry-standard security measures to protect against unauthorized access, alteration, or destruction of your information. Database backups are encrypted at rest and retained for disaster recovery.
4. Third-Party Services
We use third-party services to operate our platform. Each provider processes data according to their own privacy policies:
- Stripe — payment processing and subscription management
- Anthropic (Claude) — primary AI model for chatbot responses, analysis, and content generation. Enterprise plans use Opus directly via Anthropic's API.
- OpenRouter — cost-optimized AI model routing for Free, Solo, Starter, Growth, and Business tiers. Conversation text is routed through OpenRouter to Mistral, Sonnet, or other models per your plan.
- OpenAI — content moderation (all user input passes through the Moderation API before reaching the chat model), text embeddings for retrieval, and image generation.
- Twilio — SMS messaging and phone number services
- Resend — transactional and notification emails
- Vercel — application hosting and edge functions
- Supabase — database, authentication, and file storage
- Upstash — rate limiting and security infrastructure
- Sentry — runtime error monitoring (no personally identifiable information is intentionally included in error reports, but stack traces may contain technical metadata)
- Google APIs — optional OAuth connectors. When you connect a Google account, we request scopes only for the features you enable:
- Google Sheets — read and write sheet data for knowledge-base sync and pipeline ingestion
- Google Drive — list and read documents you choose, for knowledge-base ingestion
- Gmail — read messages you opt to ingest into Vorena; we do not send mail on your behalf via Gmail
- Google Docs / Slides / Forms — read documents you select for ingestion
- Google Calendar — read and write events for booking integration
- Microsoft APIs — optional OAuth connectors (Teams, Calendar, OneDrive). Scopes are requested only for enabled features, as with Google.
5. AI Data Processing
Vorena AI uses Anthropic's Claude API as the primary AI engine for chatbot conversations, content generation, and business analysis. OpenAI is used for supplementary tasks including content moderation, text embeddings, and image generation. When your chatbot interacts with a visitor, the conversation text is sent to Anthropic for processing. Important disclosures:
- Anthropic's and OpenAI's business APIs do not use your data to train their models
- Conversation data is sent only when needed to generate a response
- We do not share your knowledge base documents, CRM data, or analytics with AI providers beyond what is needed for the specific feature
- AI-generated responses may not always be accurate — you are responsible for reviewing content used in business communications
- AI model tiers vary by subscription plan — higher plans access more capable models
6. SMS & Phone Data
If you provide a phone number during registration or in your account settings, we may use it to send SMS messages related to your account (onboarding, trial reminders, payment alerts, support). Phone numbers are stored securely and are not sold or shared with third parties for marketing purposes.
SMS messages are transmitted via Twilio. Your phone number is shared with Twilio solely for the purpose of delivering messages. You can opt out of SMS at any time by replying STOP to any message or by updating your notification preferences in your account settings.
For visitors who interact with client chatbots:
If you submit your phone number through a business's AI chatbot powered by Vorena, that phone number is stored as part of your lead record and may be used by the business owner to follow up with you. The business owner is the data controller for this information. Contact the business directly to request deletion or opt-out of their communications.
7. Data Retention
We retain your account data for the duration of your active subscription. Chatbot conversation data is retained for 12 months from creation, after which it may be archived or deleted. If you cancel your subscription, your data is retained for 90 days to allow for reactivation, after which it is permanently deleted. You may request earlier deletion at any time.
8. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access — request a copy of the data we hold about you
- Correction — update or correct inaccurate information
- Deletion — request deletion of your personal data
- Portability — receive your data in a structured, machine-readable format
- Objection — object to certain processing of your data
- Restriction — request limited processing of your data

9. CCPA Disclosure (California Residents)
If you are a California resident, you have the right to know what personal information we collect, request deletion, and opt out of any sale of personal information. Vorena AI does not sell personal information. To submit a CCPA request, email support@vorena-ai.com with the subject line “CCPA Request.”
10. International Data Transfers
Vorena AI is operated from the United States. If you access our services from outside the United States, your data may be transferred to and processed in the United States or other countries where our service providers operate. We ensure appropriate safeguards are in place for international transfers in compliance with applicable data protection laws.
11. Children's Privacy
Vorena AI is not directed at children under 16. We do not knowingly collect personal information from children. If we become aware that a child under 16 has provided us with personal data, we will take steps to delete that information promptly.
12. Cookies
We use essential cookies for authentication and session management. We use analytics cookies (Google Analytics) to understand usage patterns and improve our platform. We do not use third-party advertising or behavioral tracking cookies.

13. Changes to This Policy
We may update this privacy policy from time to time. We will notify you of any material changes by email or through a notice on our platform. Your continued use of Vorena AI after changes constitutes acceptance of the updated policy.
